We are currently expanding our lettings department and are looking for a senior consultant with a minimum of 2 years experience in the lettings and property management industry.

Land and New Homes Assistant

We are currently looking for a hard-working individual to assist our Land and New Homes Director.

You will need:

  • Full clean drivers licence

ROLE AND RESPONSIBILITIES

To act as an assistant to the Land and New Homes Director

  • Office based with site visits valuations and viewings where required
  • Keep up to date with the Land and New Homes Business plan tasks 2018
  • Ongoing research of planning / applications of all levels, following up with letters and phone calls.
  • Keeping a comprehensive list of planning decision dates.
  • Keep up to date with local area news.
  • Build and keep an updated and comprehensive list of contacts.
  • Contacting Architects, Developers, Builders, Housing Associations and Planning agents.
  • Handling incoming enquiries by phone, letter and email.
  • Working closely with the LNH director on projects.
  • Research on property values market trends.
  • Organisation of Sales Campaigns, plus site and development launches.

Pre-Tenancy Co-ordinator/ Lettings Administrator

We currently have a vacancy for a Pre-Tenancy Co-ordinator/Lettings Administrator within our award-winning lettings department at Oasis Estate Agents; prominently-located offices in Staines-upon-Thames. We are currently expanding and we need positive, committed individuals to join our professional, pro-active and friendly team.

£22-25,000 OTE or pro rata for part time dependent on experience, including incentives.

  • Ensure that you make a welcome introduction to all new landlords (face to face wherever possible) as they become Oasis customers in order to explain their obligations as a landlord to maintain the property and keep the tenants safe and introduce the company.
  • Prepare the hard and soft copy of the pre-tenancy file for each new agreed let, and also create the record on CFP (our property management CRM). Complete each file and sign off the checklist.
  • Send an offer letter to landlord/s and tenant/s and draft the tenancy agreement (including Deed of Guarantee if relevant),
  • Ensure we have completed and passed references for the tenant/s, and landlord/s approval prior to the move-in.
  • Take the legalities of your position very seriously and ensure that your clients understand the need for safety checks before and during a tenancy, and organise pre-tenancy safety checks (or obtain documents from the landlord/s). All documents to be scanned onto CFP system and enter the certificate dates for renewal reminders.
  • Obtain the required documents from the tenant/s and landlord/s to comply with Anti-Money Laundering Regulations, Right to Rent Regulations and our responsibilities and duty of care as an agent, as applicable.
  • Enter the rent details onto CFP to make sure that the tenant/s and landlord/s are invoiced correctly initially and at the correct periods during the tenancy.
  • Arrange a ‘Pay and Sign’ appointment with the tenant/s before the move-in and make sure they have received and signed for the legally required documents. Ensure that the tenant/s set up a Standing Order Mandate.
  • Arrange for a professional inventory to be carried out and checked at the start of every new tenancy. Check the report once it is received.
  • Ensure that the holding deposit and completion monies are received in a timely fashion and receipted correctly on CFP, and the bookkeeper is advised accordingly. If a Let only landlord owes us a balance of fees for the let, then invoice and receipt prior to move in.
  • Register the security deposit with the TDS.
  • Visit all managed properties prior to the new tenancy commencing and ensure that everything is ready for the tenant/s to move-in. Ensure that you have a maintenance float available for the property if managed.
  • Once the tenancy has commenced, liaise with the bookkeeper to advise what deductions and fees are due, to ensure prompt and accurate payment of the balance of the first month’s rent to the landlord.
  • Carrying out other administrative duties to facilitate the smooth running of the business as and when needed, such as letter-writing, filing and housekeeping of software systems.
  • Create hard and soft copy files for new instructions.
  • Use Jet (our front-end marketing CRM) to a competent level, including being able to manage appointments in the diary, register applicants, locate records and review our available lettings stock.
  • Offer Oasis Financial Services and insurance products to landlord/s and tenant/s.
  • Maintain a positive, productive and friendly relationship with tenants, whilst understanding that your client is the landlord. Any conflict between tenant and landlord must be handled professionally and in accordance with the company’s obligations, both legally and morally.
  • Source and build relationships with prospective clients to expand business opportunities, in particular speaking to let-only or rent collect clients to discuss the benefits of having their property/properties fully managed by the company.
  • Update your legal and market knowledge regularly by reading industry news, attending courses, following local groups on social media and generally networking with other industry professional or local companies, clubs, groups etc.
  • Use every opportunity to gain recommendations or referrals for future business and ask for good client testimonials whenever possible.
  • Ensure that your workspace remains tidy, by scanning and filing documents regularly and ensuring that the systems are always updated with notes as they happen and that all keys are logged in and out as they are brought into the office or taken out.
  • Ensure that you are a team player and are able to assist your colleagues when necessary. Be prepared to go over and above in order to provide the best service to your clients at all times.
